Information Regarding the April 2008 Convocation.

SCHOOL OF EDUCATION CONVOCATION INSTRUCTIONS

 

Convocation will be held on Friday, April 25, 2008.  It will begin promptly at 8 a.m. in the Smith Fieldhouse.

 

Please follow these outlined procedures:

 

  • Line up before the ceremony no later than 7 a.m.

Baccalaureate and Master candidates will line up on the turf covered area at the west end of the track. You will be given a name card at this time.

Doctoral candidates will line up behind the curtain located directly behind the main podium. Bring your hood, but DO NOT wear it; you will be hooded later in the convocation exercises! There will be an usher behind the curtain who will line you up. 

 
  • Walking across the stage:

Baccalaureate and Master candidates: At the appropriate time, the usher will tell you to move out of your seat and onto the stage. Your name will be read as you walk across the stage to receive your diploma cover from the university officials. You will then walk off stage and return to a seat. An usher will direct you as you leave the stage.

Doctoral candidates: You will be seated on the stand, and at the appropriate time, the reader will announce your name. At that time you will come down and be hooded and then walk across the stage to receive your diploma cover from the university officials. You will then return to your seat on the stand. Please do not wear your cap when being hooded.

 
  • Dress Requirements:

Graduates should wear appropriate dress shoes.

Women should wear knee length to mid-calf length dresses (no long dresses or slacks that show under the gown, please).

Graduates should not wear flowers.

If possible, leave all personal belongings (purses, cameras, etc) with a guest, as you will not have a permanent seat to leave them at and you cannot carry them across the stage with you.

 

  • Tassels:

Graduates should wear the tassel on the left of the cap throughout the exercises except for when crossing the stage. At that time you may move the tassel to the right side so as to give a clear view of your face to the audience and photographer.

B.A. degree - White

M.S. degree - Gold

M.A. degree - White

M.Ed / Ed. S degree - Light Blue

Ed.D / Ph.D. degree - Gold (short)

 
  • Caps:

Please do not wear the cap on the back of your head or at a rakish angle.

Only Men will remove their caps during prayers. Women should keep their caps on their head at all times.

Women should secure their caps with bobby pins.

 

  • Name Cards:

If you would like your name card to be read differently from how it will be printed on your diploma, please call the Education Advisement Center (EAC) Secretaries at 801-422-3427 and let them know how you want your name printed on your name card. For example, if the name on your diploma is your full name "Jane Ilene Walker Doe," and you want your name card to simply read "Jane Walker Doe," you need to call and request the change. Calls must be received no later than Tuesday, April 22, 2008!  Names on name cards will NOT be changed after Tuesday, April 22, 2008 and will NOT be changed the day of graduation!

If your name is often mispronounced, please call the EAC Secretaries and let them know the proper pronunciation of your name. Calls must be received no later than Tuesday, April 22, 2008!

 
  • Family and Friends :

If a spouse or family member is planning on "walking" with you, please double check to make sure his/her "Petition to Walk" form has been turned in to the Education Advisement Center (EAC) by Tuesday, April 22, 2008. You may call the secretaries at 801-422-3427 to make sure the EAC has received it and arrangements are made for him/her to participate with you in the convocation exercises. Calls must be received no later than Tuesday, April 22, 2008.

 
  • Photography:

A professional photographer will take your picture as you shake hands with the University administrators. There is no obligation to buy the picture. If someone in your party would like to take your picture as you cross the stage, please advise them that the best place to sit is on the south balcony. Let your guests know that they CANNOT come on to the floor to take pictures!

 
  • Guests:

No tickets are required for your guests to attend the convocation ceremony.  However, your guests should plan to be seated in the hall by 7:30 a.m.  The earlier they come, the better their seats will be. Doors will open at 6:45 a.m. and family members must be seated by 7:45 a.m., at which time seats may no longer be saved.  It is important that you and your family arrange your plans so that you are on time and seats are available for everyone.  Ushers will be at the doors to assist with seating and distribution of programs.  Family members may not sit in empty graduate seating.  Only graduates and faculty are allowed in this area.  

If you or someone in your party will need special seating arrangements due to disability, please call the EAC Secretaries at 801-422-3427 and let them know what your needs are.  Arrangements must be made no later than Tuesday, April 22, 2008!

 

  • Ceremony Etiquette:


We ask your cooperation in informing guests to withhold applause until invited to recognize each group.  To maintain a professional and dignified atmosphere, guests should be discouraged from whistling or noise making during the graduation ceremony.

 

  • Parking:
 

There are 750 parking stalls available in the “Y” lot immediately east of Zion’s Bank for those in attendance.  Please arrange to carpool with family members as parking may be limited. This lot can be accessed from University Avenue.

 

  • After the Ceremony:

Convocation exercises proceed for approximately 1 hour.  At the conclusion of the convocation ceremonies, faculty and graduates will participate in a formal procession (walk) up the hill to the Visitors Center garden.  Guests will follow the procession line to the same location to meet their graduates and enjoy the graduation reception refreshments. 

 

Do not plan on moving your cars as there is not enough available parking at the Visitor’s Center Garden.  Vans will be available on the west side of the Fieldhouse to shuttle guests who are unable to walk to the Visitors Center.
