ExSL Administrative Internship Binder

Each ExSL intern will develop, maintain and update an Internship Binder through their program internship.  Students are responsible for keeping their binder updatedThe intern is responsible to submit the Internship Binder to the Internship Coordinator on campus at the end of each semester during finals week.  

The ExSL Program Chair and Internship Coordinator will use the intern’s binder to assess the intern’s internship progress at the end of the semester.  The intern will bring the binder to each meeting with their Faculty Supervisor.     

The following binder elements are required to be developed, maintained and updated in the Internship Binder and should each have their own tabbed section.  While the order below is preferred, it is not required for binders that have already been created

At the end of the ExSL Program, the intern will submit their final binders so that the ExSL program can create an electronic copy of the binder (e.g. scanning it to PDF). 

The diagram in Figure 1 illustrates the three core processes of the internship process:  planning, implementing and evaluating.  Each of these processes result in a clearly specified paper trail of the intern’s progress.

PLANNING THE INTERNSHIP

  • Internship Learning Plan (ILP) – BEGINNING OF EACH SEMESTER

  • The intern brings a completed ILP form to the Faculty Supervisor at the beginning of each semester/term during which they are completing internship hours. 

  • The intern reviews and updates the ILP with the Faculty Supervisor or Internship Coordinator during each supervisory onsite visit.

IMPLEMENTING THE INTERNSHIP

  • Internship Daily LogDURING SEMESTER

  • The intern maintains a Daily Log of the internship which consists of a brief, bulleted descriptive list (see sample) of the on-site internship activities in which the intern participated each semester.  The intern records the dates and times when they were onsite at the internship location.  The mentor principal (on-site) must certify the log with a signature at the end of each semester.

  • Reflective Journal –  DURING SEMESTER --[see sample]

  • The intern keeps a Reflective Journal throughout the semester.  This Reflective Journal consists of an entry for each date in the daily log.  This Reflective Journal will be a reflective summary of the intern’s thoughts, feelings, trepidations, accomplishments, “ah ha” experiences, interactions, personal growth, insights, challenges, etc. 

  • Internship ChecklistDURING SEMESTER

  • The intern uses the Internship Checklist to plan and monitor completion of required internship activities.  The intern keeps the Internship Checklist current and up-to-date.  One checklist is used for the entire program across all internship locations.

  • The intern places an “X” or checkmark in the boxes to the right of the activity description (only one checkmark in each box) to indicate that activity has been completed at that level.  Only one box is required to consider an activity completed.

  • The intern is responsible to work with the mentor principal to complete internship activities and will obtain a signature from a mentor principal for each completed activity.  A signature is only required the first time an activity is completed—at any level. 

EVALUATING THE INTERNSHIP:  Intern’s Evaluations

  • Internship Checklist SummaryEACH SITE VISIT and END OF EACH SEMESTER

  • The intern completes an Internship Checklist Summary for each meeting with the Faculty Supervisor.

  • The intern submits a completed summary in the binder at the end of each semester.

  • Summary of Internship HoursEACH SITE VISIT and END OF EACH SEMESTER

  • The intern updates the Summary of Internship Hours for each meeting with the Faculty Supervisor.

  • The intern submits a completed summary in the binder at the end of each semester. This final semester copy requires initials from the mentor principal(s).

  • Internship Site EvaluationEND OF EACH SEMESTER

  • The intern submits a final overview of each internship site.  These reviews should be written clearly and typed.  The review will become a part of the ExSL internship files and available for the ExSL Program Chair, Internship Coordinator and future students to review as they explore future internship sites.

EVALUATING THE INTERNSHIP:  Program’s Evaluations

  • Site Visit MemosTWICE/SEMESTER (completed by Faculty Supervisor)

  • The intern arranges appointments for Faculty Supervisor visits.  At each visit, the Faculty Supervisor meets individually with the mentor principal and the intern as well as all together.

  • The Faculty Supervisor visits the intern twice a semester:  once at the resident school and once at the lab school.  If the intern has a different internship arrangement, the Faculty Supervisor will still visit twice a semester (once per term).  For each visit, the Faculty Supervisor will submit a Site Visit Memo to the Internship Coordinator.

  • The Internship Coordinator emails a copy of the Site Visit Memo to the intern for the binder.

  • The Internship Coordinator emails a copy of the Site Visit Memo to the mentor principal.

  •  Mentor Principal’s EvaluationEND OF EACH SEMESTER

  • The intern provides each mentor principal with a copy of the Mentor Principal’s Evaluation Form at the end of the semester. 

  • This evaluation may function as a formative opportunity between the mentor principal and intern.

  • The intern is responsible to ensure that this evaluation is completed and placed in the binder before it is submitted at the end of each semester--before the end of finals week. 

  • Faculty’s Supervisor Evaluation of Internship Binder --  END OF EACH SEMESTER

  • The Faculty Supervisor or Internship Coordinator will review the intern’s binder at the end of the semester (on campus) and provide an evaluation of the internship process and binder, which will include an evaluation of:

      • Daily Log (remember to get the mentor principal’s initials each semester)

      • Reflective Journal

      • Internship Checklist & Internship Checklist Summary

      • Intern’s Semester Internship Evaluation

      • Mentor Principal’s Semester Evaluation

ADDITIONAL BINDER ITEMS

  • Field-based Coursework AssignmentsDURING SEMESTER

  • The intern places copies of all projects, papers and other field-based coursework assignments into the Internship Binder and includes all faculty evaluations of these assignments.

  •  Internship Activities – DURING SEMESTER

  • The intern places copies of all projects, documents, research, presentations, and any other materials produced by the student at the internship site into the Internship Binder.

  • The intern may also include other materials from their internship for future reference or as evidence of internship activities.

  • Final Assignment – END OF INTERNSHIP

  • As a culminating assignment, the student will choose a topic related to both school leadership and student learning.  The student will describe and explain how their participation in the internship experiences has provided new insights to the learning from their coursework.

  • Final Letter of CompletionEND OF PROGRAM

  • The student will receive a Final Letter of Completion that will be placed in the Internship Binder.
